FLAM San Diego Policies and Procedures
FLAM San Diego is a non-profit organization dedicated to providing French classes and extra-curricular activities for children (ages 3–18) and adults.
As a non-profit, we rely on the support and active participation of the entire FLAM San Diego community in order to achieve our mission. We encourage all families to be as involved as possible.
1. Enrollment
To validate a student’s enrollment, payment of the registration fee is required. This registration fee is due annually and applies to students joining at any point during the school year.
2. Group Lessons Enrollment and Payment Policy
Enrollment in group lessons is for the full school year. Placement is based on both enrollment and a commitment for the entire year. Tuition payments are due in August and October, with the option to pay either in full in August or in two installments.
Group Lesson Cancellation, Transfer, and Tuition Adjustment Policy
If a student withdraws from group lessons during the school year, a tuition adjustment may be issued. Tuition adjustments are calculated as follows:
The total tuition is divided by the number of group classes in the school year to determine the per-class cost.
The cost of classes already taught is deducted from the total tuition.
The remaining balance is eligible for adjustment based on the cancellation date according to the schedule below:
Cancellations before September 1: 100% adjustment
Cancellations between September 2 and October 15: 75% adjustment
Cancellations between October 16 and December 1: 50% adjustment
Cancellations between December 2 and January 1: 25% adjustment
No adjustments after January 1
Issuance of Adjustment
If the student chooses to withdraw completely, the eligible tuition adjustment will be issued as a monetary refund.
If the student chooses to transfer from a group class to private lessons, the eligible tuition adjustment will be issued as private lesson credits rather than a refund.
This approach ensures flexibility while adhering to the annual commitment policy.
3. Classes
New classes will be created at a specific location (online or on-site) only when a sufficient number of students can be grouped together. Parents should contact us to request a new class. A class may be canceled or alternative options suggested if enrollment is insufficient.
4. Trial Lessons
Families may request a trial lesson before committing to full-year enrollment. Trial lessons are subject to a $20 fee. Please contact us to schedule a trial lesson.
5. Tuition Fees
Tuition fees vary by location and format (online vs. in-person) and are calculated annually. Payment may be made in two installments or in full. Fees are due within 7 days of the invoice or as otherwise specified. A $100 penalty applies for late payments or returned checks.
In case of financial difficulty, families are encouraged to contact us to discuss possible solutions. Payments are to be made online. For families enrolling multiple children, one payment is acceptable if all student names are indicated.
For mid-year enrollments, tuition will be prorated based on the number of lessons remaining. Registration fees remain fully due.
6. Change in Linguistic Level
At the beginning of the year, teachers evaluate students to assign them to the most appropriate class. Teachers may recommend a level change during the year if necessary and will communicate with parents beforehand. Alternative options may be suggested for students not aligned with the FLAM level, such as different classes or other programs.
7. Attendance
Regular attendance is essential for language acquisition. Parents should inform the teacher directly of absences, or contact FLAM San Diego if unable to do so. Missed classes are not reimbursed.

8. Behavior
Students are expected to follow the rules of the class location and teacher, including respect, courtesy, cooperation, and self-discipline. Teachers will communicate regularly with parents regarding academic progress and disciplinary matters.
FLAM San Diego reserves the right to temporarily or permanently exclude any student whose behavior disrupts the class or other students. Paid fees, including registration, will not be reimbursed in such cases.
9. Media Consent
By enrolling, parents consent to FLAM San Diego using photographs or videos of their child(ren) for educational, promotional, or public relations purposes without compensation.
10. Accidents and Illness
In case of an accident requiring medical attention, teachers will contact parents immediately. If unreachable, emergency services will be called. Children with infectious illnesses are not permitted in class, and parents must inform the teacher.
11. Arrivals and Departures
Parents should accompany children to the classroom 5 minutes before class. Late arrivals disrupt the class. Only parents or authorized adults may pick up children. Late pickup may incur a $5 fee per 5 minutes.
12. School Supplies
Most materials are provided. Teachers may request additional supplies at parental expense, within reason.
13. Closing of Sites and Lesson Cancellations
Lessons may be canceled due to teacher absence, unforeseen circumstances, or premises issues. Parents will be notified via email. FLAM San Diego will attempt to provide make-up lessons, with reserved dates at the end of the school year. Substitute teachers may be provided when possible.
14. Communication with Parents
Information is primarily shared via email and the website. Parents must maintain a valid email on file. Teachers will communicate at least twice per year with parents. Parents may observe a class once per year by appointment for up to 20 minutes.
15. Disclaimer
Parents understand that FLAM San Diego is not liable for accidents, fire, or other emergencies. Parents consent to all emergency actions taken to ensure safety, including medical treatment and transportation, and agree to reimburse FLAM San Diego for any incurred expenses.
